The working area

Once a document has been imported, the application is divided into three parts: the side panel with views and navigation on the left, the document in the middle, and the active tool on the right.

Working area with the document, the info panel on the left and the word tool on the right

The window title always shows <case> — <file> — Docuflair Desktop; during a trial, the remaining time of the demo licence is appended.

Group Buttons
Case New case · Open case · Scan · Save case · Close case
Analysis Detect PII — automatic detection of personal data · Detections — manage the case’s own detection rules (only with a case open)
Output Print · Save copy (a redacted copy as PDF or in the original format) · Re-identify
Page Rotate left · Rotate right (rotates the current page and is stored in the case)
Tools Set words · Set rectangle · Set area · Scan (scan tool, with the Scan licence option)
Internet AI assistant — deliberately grouped separately, because data can leave the device here

Which buttons appear depends on the licence — without the Mask option, Re-identify is absent, for instance.

If the window is too narrow for all the labels — on a notebook, say, or with increased display scaling — the ribbon shows only the icons; the name of each button appears as soon as you hover over it. If even that is not enough, the ribbon can be scrolled horizontally: with the mouse wheel over the ribbon, or with the scroll bar beneath it. Once the window is wide enough again, the labels return by themselves.

In re-identification mode a reduced ribbon appears with Close and Save copy; the accent colour of the icons changes from red to teal.

The icons along the left edge switch the view of the left side panel:

  • Info — key figures for the case: pages, recognised words, the number of redacted and pseudonymised areas, the active dictionary. Below that is the Reset document button: after a confirmation prompt it removes all redactions and pseudonymisations at once — every dictionary entry as well as all area and word redactions. The action cannot be undone.
  • Previews — thumbnails of all pages (size controlled by the slider); a click jumps to the page.
  • Structure — an outline of the document derived from the font sizes (this works for scans too) for jumping around quickly. Existing PDF bookmarks are not evaluated.
  • Search — full-text search within the recognised text (see below).

Previews with page thumbnails

Below those — always visible — are Paging (first, previous, next and last page, plus direct page entry) and the zoom controls:

  • Fit to width / Fit whole page — the fit is repeated automatically when the window is resized, until you zoom manually.
  • Manually through the magnifier buttons, the percentage value or Ctrl + mouse wheel; by keyboard with Ctrl + / Ctrl − / Ctrl 0 (100%) / Ctrl 1 (width) / Ctrl 2 (whole page).

The Show detections switch with the text frame icon (on the left above the zoom) frames every word recognised by OCR:

Show detections frames every recognised word

That shows you at a glance where text recognition found nothing — unframed spots (handwriting, stamps, graphics) can only be reached with rectangle redaction. The switch is purely a display and does not change click behaviour.

The search tool in the left panel searches the recognised text:

Document search with the list of matches and the current match highlighted

The options are Match case, Whole words only, Fuzzy (typos) — which also finds slightly different spellings and typical OCR confusions — and Ignore diacritics (ß=ss, é=e). Phrases are found across line breaks as well. The list of matches shows an excerpt and the page; the current match is highlighted in yellow in the document, and the arrows step through the matches. Enter in the search field starts the search or jumps to the next match.

The right side panel always shows the active tool: Words · Redact rectangle · Redact area · AI assistant. The AI assistant can additionally be undocked into its own window.

While no tool is active, you move the page by holding the left mouse button; with the middle mouse button that works at any time.

The status bar at the bottom carries the status text, the processing phase, a progress bar and, during import, the Cancel (Esc) button.
