Managing projects
The project list
Section titled “The project list”The Projects page (/admin/projects) shows the status (as a switch), name, description, the deletion policy badge (Never deletable / “n days” / Immediately deletable), the document count and the creation date:

“New project” is visible to superadmins — and to users with a tenant grant for “create projects” (delegated project creation, see the chapter “Access and roles”). Edit and Delete require the corresponding right (change or delete) on the project.
Creating and configuring a project
Section titled “Creating and configuring a project”The project form (/admin/projects/new or …/edit) is divided into four tabs:

The “General” tab:
| Field | Meaning |
|---|---|
| Active | Inactive projects cannot be used by users. |
| Name / Description | The project’s display data. |
| Deletion policy | Never deletable (an audit-proof archive), Retention period (deletion only after n days — the “Retention (days)” field, 3650 for 10 years, for instance) or Immediately deletable. |
The “Processing” tab:
| Field | Meaning |
|---|---|
| Page orientation | Keep / force portrait / force landscape / no normalisation. |
| Text recognition (OCR) | Automatic (extract text, OCR as a fallback), Always OCR, Use embedded text only or No text recognition. |
| Convert email attachments | Default (global) / yes / no. |
| Conversion timeout (s) | A time limit per document (5–600 s; empty = default). |
| Allow external references / OLE objects | Permits Office files with embedded OLE objects or external references. Macros remain blocked at all times. Enable only for trusted sources. |
The “Detection” tab — governs the project’s automatic PII detection:

| Field | Meaning |
|---|---|
| Default document language | The language of the documents (also decisive for the OCR language choice); Auto detects it per document. |
| Country (detection) | Governs which name and place data detection draws on; “Automatic (from language)” is the default. |
| Subject areas | Activates specialist detections (medical or legal identifiers, for example). |
| Detect place names (cities) | Additional stand-alone place detection (off by default, because place names often collide with everyday words). |
The “Approval” tab:
| Field | Meaning |
|---|---|
| Only approved documents may be exported | Export and download only for documents approved beforehand; those not approved are skipped. |
| File names on export (default) | Keep the original, Apply the dictionary (dictionary terms in the file name are replaced) or Neutral name (Document-XXXXXXXX). |
Example — the project “Personnel files” for Muster GmbH: name Personnel files, deletion policy Retention period with 3650 days, OCR Automatic, document language German (DACH), the approval option active — then assign the group Accounting the Editor role under Access.
