Input data (metadata)

Input data is additional information that a user can enter at the device while scanning — a project number, a customer name or a cost centre, for example. Those values are stored as variables and can be used in the processing that follows (in the file name or the storage path, say).

Permission required

To access this function you need the following permission:

  • Show input data (AdminUI_WorkflowManagement_ListInputData)

You grant permissions through groups — see permissions – overview.

In certain scenarios further information has to be supplied while scanning. Docuflair covers that requirement with input data, which you find in the menu under Flow.

Creating input data

Various parameters matter in the configuration. The name determines what this input data is called. In the example at hand the value Project is used. Note that the name has to follow the syntactic rules for a variable: only alphanumeric values are permitted, so no special characters and no spaces. A variable may not begin with a digit either.

The optional description field plays no part in the processing; it merely serves documentation and keeps things clear where a great deal of input data exists. Sum up the purpose in a few words in this field.

In the workflow list you determine which workflow this input data belongs to. A single input can only ever be attached to one workflow, but several inputs can exist for one workflow.

The display text is the text shown on the scanner’s display. Where more than one language is active for the user interface in the system, you can enter a translation per language here.

The input type defines the format of the input. There are text, lists, date entries and checkboxes. Text allows anything to be entered from the keyboard, whereas a list shows a limited number of options for the user to choose from. The date is self-explanatory, and checkboxes can be either ticked or cleared.

With Fetch data from an ODBC database connection switched on, you can supply a connection to a database along with an SQL query in order to fetch dynamic inputs.
