Creating and editing an email account

Email is sent or received in various scenarios while Docuflair is in use. To make it possible to receive and send email messages in the Docuflair system, you therefore configure both incoming and outgoing email settings.

Permission required

To access this function you need the following permission:

  • Create email account (AdminUI_WorkflowManagement_CreateEmailAccount)

Permissions are granted through groups — see permissions – overview.

Five different types of email server are available in Docuflair for receiving email. POP3 and IMAP each have a variant with authentication.

  1. POP3
  2. IMAP
  3. Microsoft Exchange
  4. POP3_OAUTH
  5. IMAP_OAUTH

In the settings you choose the encrypted connection type and give the interval at which new data is fetched.

Settings for incoming email

POP3 fetches email from the server in full. The files are then no longer on the server but stored in the email program.

IMAP, by contrast, fetches only the information currently needed from the server. So no files are transferred.

Exchange ActiveSync is a protocol from Microsoft that synchronises email with an Exchange server. Much as with IMAP, the data is not downloaded from the server and deleted there.

In the settings for outgoing email you choose between SMTP and the variant that requires authentication, SMTP_OAUTH. You can additionally set up authentication for the outgoing mail server and choose the encrypted connection type.

Settings for outgoing email

A button of its own is available for checking the connection set up. Before using it, give an address the test email should be sent to.
