Storage locations

A storage location is a place documents are filed in or printed from. That can be a folder on the server, a network drive, cloud storage (OneDrive, for example) or an FTP server. In Docuflair you set storage locations up once; they are then available everywhere — at the printer, in the scanner and in workflows.

Docuflair allows printing from and the filing of scanned documents in storage locations that can be configured individually, such as:

  • Local media (on the Docuflair server)
  • Network drives
  • Nextcloud
  • WebDAV
  • FTP, SFTP, FTPS, SCP
  • Office 365 (SharePoint, OneDrive and so on)
  • and others

Permission required

To access this function you need the following permission:

  • Show storage locations (AdminUI_StorageManagement_ListStorages)

Permissions are granted through groups — see permissions – overview.

Because extension modules are straightforward to develop, any other system can be connected with little effort — ERP, CRM and DMS systems, for example.

Where user sign-in at the device has been switched on for a storage location, the user information (the user name plus an encrypted password) is shown under Storage locations for the user. The user then does not have to sign in afresh every time in order to reach the storage location. Where a user wants to delete the passwords stored, they can do so one storage location at a time or delete every password at once under General.

Some storage locations may require an extended licence to unlock them. The development of individual extension modules may involve additional effort. Please contact the person who looks after your system.

Docuflair distinguishes between global and local storage locations. The former are configured once and available across the system. That lets you set the connection to a network server up, for instance, by storing the path, the user name and the passwords. By giving it a name you can reuse a global storage location everywhere in Docuflair without entering the credentials again. Local storage locations, by contrast, are created only for one particular output or storage destination. They are not intended to be reused elsewhere.

When creating global storage locations you choose whether the storage location should be switched on for applications on multifunction printers straight away:

  • Printing
  • Scanning
  • Photos
