Synchronisation
Synchronising users
Section titled “Synchronising users”Permission required
To access this function you need the following permission:
- Show synchronisations (
AdminUI_SystemConfiguration_ListSynchronizations)
Permissions are granted through groups — see permissions – overview.

Various kinds of synchronisation service are available in Docuflair:
- Synchronise Active Directory / LDAP
- Synchronise a database
- Reads a table in
- Creates a user for every row, with the name from the username column.
- Synchronise a folder
- Reads the top directory level of a folder in
- Creates a user for every subfolder.
For more on the synchronisation, see here.
In a synchronisation, Docuflair takes user and contact data from an existing data source automatically — from your company directory (Active Directory), for example. That means you do not have to set every user up individually. Changes in the data source, a new member of staff for instance, are taken over automatically at the next synchronisation.
There are three different synchronisation modes in Docuflair. Depending on the mode, you can synchronise contacts, users and/or user groups out of Active Directory, a database or a folder into Docuflair Manager.
Creating, editing and deleting
Section titled “Creating, editing and deleting”You reach the view of the synchronisations by clicking the Synchronise users button under System > User management.

You create synchronisations at the press of a button at the top left. The commands on the right-hand side let you run synchronisations straight away, edit them or delete them.
Active Directory
Section titled “Active Directory”Active Directory (AD) is a directory service from Microsoft used on most company networks. It stores information about every user, computer and group on the network — comparable to a digital telephone book for your company. Docuflair can take that data over automatically.
A simple explanation of Active Directory can be found here.
You can also synchronise several Active Directories, where there are several domains or sub-domains, for example.

In this mode you can synchronise contacts, users and user groups, as you wish.

Where you choose Synchronise contacts as shown above, you can give the address books the contacts are to be added to.
The connection and the filters
Section titled “The connection and the filters”The Active Directory / LDAP connection serves access to the directory system the data is synchronised from.

With LDAP filters you give the criteria by which particular objects are searched for in the directory.
Examples of filters:
| Filter | Description |
|---|---|
(&(objectCategory=Person)(objectClass=user)(!(name=mab_*))) |
Objects in the category Person belonging to the class user — except those whose name begins with mab_ |
(&(objectCategory=Person)(sAMAccountName=*)(mail=*)) |
Filters for people with an email address |
(&(objectClass=user)(cn=*Marketing*)) |
Objects of the class user containing the word Marketing |
(&(objectCategory=Person)(memberOf=cn=manager,ou=users,dc=company,dc=com) |
Filters for people in the manager group |
(&(objectClass=group)(&(ou:dn:=Austria)(!(ou:dn:=Vienna)))) |
Filters for Austria groups without a Vienna OU component |
Further examples of LDAP filters can be found here
The Active Directory attributes
Section titled “The Active Directory attributes”Under the Active Directory attributes you determine which data is to be synchronised. For that, tick the attributes you want. In the field beside each one you define the attribute. Where no attribute is defined, the value is not synchronised either.

Where you remove a tick or delete an attribute again, that data is deleted from the database at the next synchronisation.
A database
Section titled “A database”Much as in the Active Directory mode, you give a connection here. Filters are available as well, and here too you can synchronise contacts and users.

You additionally give an SQL query that selects the data to be synchronised.
A folder
Section titled “A folder”Unlike the other modes, here you merely select a storage location that has already been set up in Docuflair Manager and is to be the source of the data.
For more on storage locations, see here

Only contacts can be synchronised in this mode.
