User management
In the user management you set up everyone who is allowed to use Docuflair and manage their accounts. For every user you store credentials, permissions and personal settings. Users can also be imported automatically from a directory service such as Active Directory.
You reach the user management through the menu navigation under System > User management. By default you see the list of every user present and active here. Depending on how many users exist in the system, loading that table can take a few moments.
Permission required
To access this function you need the following permission:
- Show the user list (
AdminUI_UserManagement_ListUsers)
Permissions are granted through groups — see permissions – overview.

The screenshot shows a system in which seven users currently exist.
Searching
Section titled “Searching”The search field is how you find one or more users quickly. Enter any property of the user — the user name, the card number or the date created, for example. The search works incrementally: the list updates automatically as you type.

Status
Section titled “Status”A user is always in exactly one of four states. The status is shown as a coloured circle to the left of the user name.
-
🟢 Green - the user is active:
The normal state: the user can sign in and is visible throughout the system. -
⚫ Grey - the user is disabled:
A blocked state: the user cannot sign in for the time being and is only visible in the system to a limited extent. -
🟠 Orange - the user is waiting to be released:
A user usually has this status directly after registering, where a release by hand by someone with the right permission is required. -
🔴 Red - the user is marked as deleted:
Where a user has been deleted by hand or was no longer found in the directory service at a further synchronisation, they are marked as deleted. Signing in is then no longer possible. Deleting such users by hand once more removes them from the system for good. Note that the user information is then no longer available in the job and transaction reports either.
Permissions
Section titled “Permissions”The user admin is a default user set up automatically on every installation. It is needed in particular for the first setting-up of the system. Through the system administrator permission role, the user admin has full control over the system and access to every function in Docuflair Manager. Every other user has the user permission role by default. That role stands for restricted access, which depends on the permissions assigned.
Settings
Section titled “Settings”In the Settings column the icons let you see at a glance which values are set for a user. In the example shown, only one card number is stored for the users admin and demo each, whereas the user peter has two card numbers. For the user user, created by hand, only a PIN code was stored; for the user demo, also created by hand, a PUK code as well. Apart from the default user admin and the two users created by hand, every other one was synchronised automatically through a directory service (LDAP / Active Directory / a database import).
Credit
Section titled “Credit”Depending on the Docuflair licence acquired, the Credit column is visible or hidden. In the example it shows that currently only the user peter has virtual credit, of 10.00 units.
Creating
Section titled “Creating”You can either create users by hand or synchronise them through the directory services (LDAP / Active Directory / a database import). A click on the create user button starts the creation by hand. You set a synchronisation up through the synchronise users button.
Editing
Section titled “Editing”Users created by hand can be edited in full; on synchronised users only certain fields can be changed. To edit a user, click either the user’s login itself or the pencil on the right-hand side of the user’s row.
Deleting
Section titled “Deleting”Different possibilities are available depending on whether you want to delete only one user or several at once.

On the left-hand side of every user’s row there is a selection box that lets you delete several users at once. For that, first select the users you want and then remove them with a click on the Delete user button. Certain users cannot be removed: the default user admin and users synchronised out of directory services (LDAP / Active Directory / a database import). You recognise the latter by two arrows that together form a circle.
You delete individual users through the bin on the right-hand side of the user’s row.

To avoid users being deleted unintentionally, an additional confirmation prompt always appears in a popup before it is carried out.
Synchronising
Section titled “Synchronising”A click on the Synchronise users button takes you to the synchronisation page. There you create and manage the synchronisation services for importing contacts, users and groups automatically.
Device features
Section titled “Device features”In the Commands column, to the left of the bin, there is a button (nine tiles as its icon) that takes you straight to the device features for the user selected.
