Filename placeholders

When filing a scan at its destination, Docuflair assembles the configured file name from placeholders. A pattern such as Scan %w %t becomes Scan Wednesday 14.05.pdf. This page lists every placeholder available for file names, folder names and storage paths — grouped by creator, document, date and time, numbering, and JavaScript expressions.

The placeholders are substituted in a fixed order. That matters when a word replacement is meant to act on the result of another placeholder:

  1. Ticket and JavaScript placeholders — creator, document, numbering and {…} expressions
  2. Word replacements from administration (Scan management → Word replacements)
  3. Date and time placeholders
  4. Clean-up — removing characters not permitted in file names, trimming spaces before the file extension

Word replacements therefore take effect after the ticket placeholders but before the date placeholders.

Placeholder Description
%u The creator’s sign-in name
%U The full name (Active Directory)
%F The first part of the full name (first name)
%L The last part of the full name (surname)
%e The creator’s email address
Placeholder Description
%o The original file name of the source
%o! The original file name without its extension
%O The original file name including its path
%O! The original file name including its path, without the extension
%r The relative source folder from a recursive search (a hotfolder or email import, for instance)
%b The encoded content of the barcode detected
%p The document’s page count

All values refer to the time of output — with the exception of %T, which inserts the time the scan was created according to the ticket.

Placeholder Description
%d The date as DD.MM.YYYY
%t The time as HH.mm
%T The scan’s creation time as HH.mm (from the ticket, not the output time)
%DD Day, two digits
%MM Month, two digits
%YY Year, two digits
%YYYY Year, four digits
%hh Hour
%mm Minute
%ss Second
%ff / %fff / %ffff Fractions of a second with 2, 3 or 4 digits
%w The weekday in English
%W The weekday in German
%X Unix timestamp in seconds
$date The date as YYYYMMDD
$time The time as HHmmss
Placeholder Description
%g A sequential five-digit number starting at 00000; the system looks for the first free number at the destination
%3g As %g, three digits
%G As %g, without leading zeros
%q A random five-character string
%S The ticket’s sequential serial number, seven digits
%0S to %7S The serial number with 0 (no padding) to 7 digits — %4S therefore gives a four-digit number
Syntax Description
{expression} Evaluated in a JavaScript environment with the scan’s metadata (form fields, workflow variables and so on); the result is inserted. {$…} metadata placeholders and the special form {$all} are skipped.

In Flow workflows, {variablename} inserts the value of a variable that was filled earlier in recognition.

Placeholder Description
%u In the base path of a storage location (local file system, network share), %u is replaced by the creator’s sign-in name — for home directories, for instance
Pattern Result
Scan %w %t Scan Wednesday 14.05.pdf
%u_%YYYY-%MM-%DD_%g mmuster_2026-09-03_00000.pdf (the next scan gives 00001)
%o!_%T Rechnung_14.05.pdf (for the source Rechnung.pdf)
Beleg %b Beleg 4711.pdf (barcode content 4711)
  • %g needs an existence check by file name. The placeholder only works with storage locations that permit this. With DocuWare every upload is a new document — numbering does not take effect there.
  • %SD, %ST, %SA and the %D00 forms do not apply to file names. They are intended exclusively for keyboard texts in the device interface.
  • The help text in the output editor is incomplete. It documents %d %t %T %DD %MM %YY %YYYY %hh %mm %ss %w %W %u %e %o %o! %r %b %g %q. Also functional but not listed there: %U %F %L %O %O! %p %X %ff/%fff/%ffff %3g %G, the %S variants, and $date and $time.
